Administration Assistant - 3 Month - Fixed Term Contract

Part of Grafton Group Plc, Chadwicks Group is the market leader in the builder’s merchanting industry in the Republic of Ireland. The core business is through the traditional Builders Merchants division. Main brands include Chadwicks, Cork Builders Providers, Davies & Telfords. These include Heitons Steel, Panelling Centre, Morgans Timber, Proline, Sitetech & Rooney’s Hardware.

 

Principle Objective

The Administration Assistant will be responsible for providing timely and accurate administrative support to the Department Manager and Distribution team which includes a variety of admin tasks and encompassing a broad suite of activities.

 

Knowledge & Experience

  • At least 3 years experience in a fast paced, high volume administration role.

  • Excellent Microsoft office skills with the ability to manipulate data & reports

  • Strong organisational and administrative skills are essential for this role.

    Key Responsibilities

  • Maintenance of daily sales, sorting, recording and filing

  • Comparisons of Proof of Deliveries against transport logs

  • Maintenance of POD’s sorting and preparing for scanning

  • Preparation of Credit Notes

  • Monitoring and filing of security dockets

  • Clerical back up to sales personnel – copy Invoices or Proof of deliveries

  • Ordering and maintenance of stationary stocks

  • Answering and distribution of incoming telephone calls

  • Processing of preauthorised Credit Notes

  • Excellent interpersonal skills, including the ability to develop and maintain open collaborative relationships, generate trust, advocate and negotiate, influence others, be receptive to the viewpoints and concerns of others

  • Can establish efficient administration processes

  • Must demonstrate exemplary writing & communication skills

  • Be adaptable & flexible & able to cope with an evolving role

  • Be innovative and forward thinking

  • Bring a positive and enthusiastic approach to the role

  • Must at all times remember confidentiality is essential
